Position Overview:
The Administrative Assistant in our Finance/HR Department plays a vital role in providing support and assistance to the Accountant and HR Manager.
This multifaceted role involves a wide range of administrative tasks to ensure the efficient operation of the department.
Your attention to detail, organizational skills, and ability to manage multiple priorities contribute significantly to the success of our Finance/HR team.
Key
Responsibilities:
Administrative Support:
Provide administrative support to the Accountant and HR Manager, including managing documentation, data entry, and filing.
Communication:
Facilitate effective communication between the department members, executives, and external parties.
Document Preparation:
Assist in preparing documents, reports, and presentations as needed.
Scheduling:
Manage calendars, schedule appointments, and coordinate meetings for the Accountant and HR Manager.
Record Keeping:
Maintain organized and up-to-date records of financial and HR documentation.
Data Entry:
Accurately enter data into relevant software systems.
Correspondence:
Draft and respond to email and written correspondence on behalf of the department.
Phone Calls:
Handle phone calls, take messages, and provide information to callers.
General Office Tasks:
Perform general office tasks such as photocopying, scanning, faxing, and ordering office supplies.
Adherence to Policies:
Adhere to company policies and procedures, including safety guidelines.
